Serendipity Charters

Problem

Every time a new charter booking came in, the team at Serendipity Charters was manually creating Google Calendar events to keep their crew informed and organised. This was repetitive, time-consuming, and prone to errors — especially during busy booking periods.

Solution

• Built a system that automatically monitors the inbox for new booking confirmation emails, filtering them from other messages without any human involvement
• Implemented an AI extraction layer that reads each booking email and pulls out the key details — booking time, amount due, date, guest info, and more
• The extracted data is compiled and formatted automatically, generating a clean, correctly titled Google Calendar event with a full description — the crew sees it the moment a booking lands

Results

• Admin time spent manually adding booking emails to the calendar dropped by 3–4 hours every week
• The crew receives booking information faster and more accurately than before, improving coordination and operational effectiveness across the board
